. . **Position:** Receptionist / Administration Assistant **Location:** Palmerston North **Reports to:** Administration Manager ### Job Purpose To take responsibility for and manage reception duties while assisting with a wide range of administration functions for the Palmerston North branch. The role involves ensuring accuracy within business systems and processes, as well as identifying opportunities for improvement and efficiency. ### Key Responsibilities - Act as the first point of contact for client enquiries. - Record and allocate service enquiries. - Monitor job allocations and staff timesheets. - Liaise between clients and service teams. - Assist with shop sales, purchasing, and general customer service functions. - Support the administration function including processing debtors and creditors invoices, debt collection, credit applications, and staff timesheets. - Coordinate work programmes in conjunction with the manager. - Assist debt collection to achieve debtor targets. - Prepare monthly invoicing within specified timeframes. - Reconcile debtor and creditor payments within specified timeframes. - Prepare monthly statements. - Match packing slips and invoices to supplier statements. - General administration including letters, responses, and filing. - Coordinate project invoicing. - Manage job costing and billing. - Manage waged employee hours. - Identify and recommend efficiency improvements. - Assist with preparation of month-end reports. ### Performance Measures Performance will be measured against progress towards the objectives outlined above. While some targets may take time to fully implement, there is scope for the role to develop and evolve over time. ### Role Requirements This is a self-managing and autonomous position that requires initiative, attention to detail, and the ability to work both independently and as part of a team.
