🧩 Office & Operations Coordinator Hours Negotiable | Local Business | Kaitaia Kiwi Carpentry is a locally owned manufacturing and building business specialising in prehung doors, stairs, glulam beams, timber joinery and building work. We supply projects throughout Northland and across New Zealand. We’re looking for an organised, capable and adaptable Office & Operations Coordinator to support the day-to-day running of the business. This is a key role in a small, growing team — ideal for someone who enjoys variety, responsibility and being part of a hands-on workplace. 🔍 About the role You’ll sit at the centre of the business, helping manage enquiries, job setup, scheduling, documentation and internal communication. Because we’re a small business, the role is naturally varied. At times you may be asked to help with tasks outside your usual scope — flexibility, initiative and a team-first mindset are essential. We’re also continually improving our systems and processes. This role suits someone with a growth mindset who is comfortable adapting as the business grows. To get a feel for the type of work we do, you’re welcome to check out our Kiwi Carpentry Facebook page. 🛠 Key responsibilities * Handling customer enquiries via phone and email * Sending and managing product enquiry schedules * Collecting job information and setting jobs up in our systems * Creating job sheets, packing slips and job documentation * Supporting job scheduling and workflow coordination * Managing shared inboxes (orders@ etc.) * Invoicing completed jobs and supporting accounts processes * Ordering materials, consumables and office supplies * Leading and maintaining the company’s Health & Safety systems, including documentation, registers, toolbox talks, incident follow-up and supporting a strong safety culture * Supporting operational administration including timesheets, quoting support, freight coordination and job tracking as required * Assisting with staff onboarding and general team support 🧠 About you You’ll likely be someone who: * Is naturally organised and detail-focused * Communicates clearly and professionally * Can juggle multiple tasks without becoming overwhelmed * Enjoys responsibility and ownership * Is comfortable working in a small-business environment * Has a flexible, solutions-focused attitude * Is confident using digital systems and comfortable using AI to improve efficiency and accuracy * Knowledge of building products or construction materials is a strong advantage. ⏱ Hours & flexibility This role is five days per week, which is important for business continuity. Our core business hours are 7:30am – 5:00pm. The current role operates approximately 8:30am – 3:00pm. We are ready to employ several Carpenters to work alongside our experienced tradesmen. These roles require reliable, hardworking, and safety-conscious individuals. On a day-to-day basis, your responsibilities will include: * Install forms, foundations, walls, floors, ceilings, and roofs * Fit and install window frames, doors, door frames, door hardware, drywall, interior and exterior trim * Shape or cut materials to specified measurements using hand tools, power tools, and other machines * Read and interpret blueprints, sketches, or building plans to determine project layout, dimensions, and materials required * Build or repair cabinets, doors, frameworks, floors, or other wooden fixtures using woodworking machines, hand tools, or power tools * Assemble and fasten materials to make frameworks or props, using appropriate tools and materials * Remove damaged or defective parts or sections of structures and repair or replace as needed * Communicate progress, delays, or problems to the Leading Hand or Supervisor We expect you to take pride in your work, pay attention to detail, and complete tasks to a high standard within required timeframes. You'll be expected to communicate clearly with your supervisor, take responsibility for your duties, and work well as part of a team. Minimum Experience Required: At least 3 years of experience in a similar role as a Carpenter, carrying out typical new construction, repair, or maintenance duties, or hold a trade qualification or higher. You must be able to provide references to verify this experience. Pay & Conditions: * Hourly rate: $27 - $35 (waged) * Hours of work: Minimum 30 hours per week, up to 55 hours depending on project requirements * Work days: Monday to Saturday * Locations: Roles available across Northland, Auckland, Waikato, Bay of Plenty, Hawkes Bay, Wellington, Manawatu/Horowhenua, Canterbury, Otago and Southland. For those willing to travel between regions, accommodation and other allowances will be provided.
