Summary: This role involves comprehensive administrative support for project teams, procurement, general office duties, and finance administration. Highlights: 1. Opportunity to manage multiple tasks and projects Key Responsibilities: Contract Administration • Assist Project Teams with successful completion of projects through our systems. • Administration of pre-start documentation including setting up folders in system. • Complete quality assurance information for clients as and when required. • Prepare TMP and CAR documentation. • Compare contract KPIs and ensure performance is being met. • Administration for Project close out, including purchase orders and quality assurance. • Administration of project documentation and where needed communicate to clients, consultants, sub-contractors, suppliers, and site teams. • Assist both Operations and Contracts Managers in administration tasks. Procurement • Manage day-to-day transactions of internal hire and purchases for the operations and office teams. • Manage PPE stock including stock take and ordering. • Ordering key stationery supplies for field staff and office staff. • Assist in procurement of materials, or equipment for both Waikato and BOP branches. General Admin Duties • Support the office as and when required through providing reception support including answering phones and greeting guests. • Support field staff with purchase orders, supplier queries, WMS issues and training. • Assist and carry out administrative duties with regard to WMS (Workbench and Upvise) Finance administration • Manage the process of purchase orders for the business. • Manage the claim process on a weekly basis. • Support group finance team with creditors follow ups. • Support group finance team with debtor follow ups. Qualifications and Skills: • 2+ years of experience in administration or similar role. (desirable but not essential) • Excellent organizational and time-management skills. • Strong written and verbal communication abilities. • Experience with WMS Systems ie Workbench, • Ability to manage multiple tasks and projects simultaneously. • Problem-solving mindset and attention to detail.
